Minutes

  1. The minutes of March 1, 2010 were approved as distributed. 

  2. Treasurer’s Report – The CD’s come up for renewal and will be cashed this month to pay the ice bill.  Other expenses left for the year are for the LTS Session #4 Coaching and for show expenses.  Revenue should meet expenses for this year. The debit card is now ready to use. 

  3. LTS report – No new issues.  A consideration for next year is whether there should be an application process for LTS helpers.

  4. Membership – No changes.

  5. Last minute show issues –

    1. The featured skater will be a junior level skater, Kayla Guy. 

    2. Gift cards will be obtained for the featured skater and Jon. 

    3. Show assignments reviewed.

    4. Costumes will be available on Saturday to verify correct size/fitting. 

    5. More raffle tickets have been made and available. 

  6. Annual club meeting –  Bill Goa is not coming to present on the proposed new ice rink but Lyn Johnson will come at 11am.  We will meet in the Galaxy Club at 10:45a.m.  Deb Pearson will give a treasurer’s report.  Fern will send out a President’s summary of the year’s activities in advance via e-mail.  Lynn will have the minutes from last year’s annual meeting available for review and approval.  Lynn will develop a ballot with extra space in case there are nominees from the floor.  The Nominating Committee will count ballots prior to the end of the meeting so an announcement for next year’s board members can be made. 

  7. Donation to St. Joseph parish—Decided not to make a donation at this time.

  8. New web site—Jeff West will come and demonstrate the website at a future Board of Directors meeting.

Minutes

1.    Minutes from the February 1, 2010 were approved. 

2.    Treasurer’s Report was given by Deb Pearson.  Income for the month was $7,419.57 and expenses were $3,996.42.  The revenue from sales of Stars tickets was $364. 

3.    LTS report was given by Deb Morgan.  76 skaters are signed up for the last session of Learn to Skate.  Approximately 30 Learn to Skate students have committed already to participate in the show. 

4.    Haymarket Event Center report

Jennifer Brinkman has offered to have a presentation on the Event Center.  It was proposed that we hold the presentation in conjunction with the club annual meeting.

5.    Girl Scout Troop was scheduled and income from this project equaled $99.

6.    Show report

a. Solo and group registrations—Deadline is March 1 (today) for registration. 

b.Music has been cut for the groups. 

c. Planning for costumes and music will happen at Cynthia’s home on Wednesday March 3 at 7pm. 

d. Featured skater.  Fern talked to Jason and Jerry and they will come up with someone.

e.Announcer script written.  Buzz Herman will be the announcer.

f.Finale was discussed.

g. Photographer is Anderson’s Studios. 

h. Videographer is Three Pillars Media.

i.Lighting and spots are ready.

j.Volunteer wrangler.  Kathy Phillip will work off of last year’s list to fill slots.  Fern recommended Frankie and Mary Mar to assist. 

k. Flower sales

l. Advertising and promotion—Discussed flyers and postcards to distribute to skaters and skaters’ schools.  Brenda will write up a press release and Cynthia will contact radio and TV stations to encourage interest in the show.  Kathy Phillip suggested that we could give radio stations tickets to give out on the air also to encourage interest.  There was a discussion about a human interest skater story for the newspaper.

m. Raffle organizer.  The quilt is ready and other prizes are coming in—quilted table runner, pedicure, BluRay player, Zuca bag, $10 Target card, Bread basket, and a Stars jersey.  Brenda is developing new tickets to be ready this week.  Posters are needed to sell raffle tickets.  Each skater will get 20 tickets ($1 per ticket).

n. Printed programs—Sue Herman has volunteered to assist with producing programs.

o. Posters—Nance Harris is doing these.

p. Curtain is rented as well as tables.

q.Pizza party and drinks are planned.

r. Linda Loker is interested in being the show coordinator next year (2011). 

7.    The date for the Annual Meeting will be April 10 after Learn to Skate.  This would be the date that we would invite guests to present about the event center.  Kathy Phillip, Mia Brown, Cynthia Woods, Fern Coon, and Deb Pearson’s Board terms have expired but they are eligible for re-election.  Carolyn Dow, Brenda Linder, and Sue Herman will constitute the Nominating Committee.  Brenda will compose an e-mail to all members mentioning that it is time for Board nominations.  The Board of Directors slate needs to be sent to the membership by March 13.

1.    The minutes from January 4th were reviewed and approved as distributed. 

2.    Treasurer’s Report – Deb Pearson

Sales tax has been calculated on the fair market price for items being sold through club fundraisers.  Fundraisers to date have yielded $2,334.28 after expenses and sales tax.  SCFSC needs to have at least 50 students in LTS for session #4 to breakeven.  The treasurer’s report was accepted. 

3.    LTS report – Deb Morgan

67 skaters are registered for LTS#3.  Kim Smith has begun helping as a coach and it has worked well so far.  SCFSC does not have a policy that requires LTS instructors to be registered as coaches.  Coaches that are just teaching basic skills do not need to be registered.  Coaches teaching private lessons to students who will be participating in sanctioned events do need to be registered.  Our 3 registered coaches are currently Linda, Brad, and Judy.  All of them are currently full with students as are Jerry and Jason, the coaches from Omaha.  Sarah Roach and Maggie Beller are available but need to join the club and submit a resume.  Jazz will be assigned to Judy and Level 1 to assist during LTS. 

4.    Membership—Report was given by Deb Pearson

38 full members, 14 family members and 3 associate members. 

5.    Haymarket Event Center report and Stars Ticket Sales– Cynthia Woods

Cynthia attended the press conference and the next meeting is on February 11th at 7pm.  At this meeting, instructions will be given on how to present plans for the ice rink and downtown development plan to promote the project.  Cynthia will contact Jennifer Brinkman, the project publicity person, regarding how we can relate the skating club and need for ice to the overall project. 

6.    Girl Scout Troop request

Sarah Keene, mother of an LTS student, wants help for the Girl Scout Troop with their skating badge.  Fern will teach the off-ice portion of the badge, and Fern and Carolyn have volunteered to teach ½ hour lessons x 2 for the troop.  The best time would be February 21st and February 28th to possibly capture more students for LTS.  Alternate dates could be March 7th and March 14th.  The ice could be partitioned with cones and the coaches would be notified.  The charge would be $5 plus $2 for skate rentals for each session. 

 

7.    Show report

a.               Solo and group registrations

24 soloists and 1 group of 4 girls (Brad’s students) have signed up.  LTS will probably have 8-9 groups and there may be 1-2 additional groups.  The soloist registration is March 1.  The Board made the following decisions:  1)Solo registrations will remain $25;  2)Small group registrations will be $15 per skater in the group;  3)Group registration fee will be $20 per skater in the group this year for LTS.  Scholarships will be available for students who can’t afford fees.  Two weeks after LTS#4 begins is the deadline for group registration for the show. 

b.               Music

Carolyn and Cynthia have collected a lot of music and will make a final call on music for group numbers.  Many of the musical numbers have “dream” in the title.

c.                Costumes

Fern will design costumes and will work with Brenda and a few other family members, friends, and Board Members to sew. 

d.               Featured skater

Fern will contact Jerry about a potential featured skater who is his student.

e.               Announcer

Scott at the Food Bank is a possibility.

f.                  Announcer script written—No update at this time

g.               Finale

Carolyn will choreograph the finale, keeping it simple. 

h.               Photographer

Cynthia is working on alternatives for a photographer without paying up front.

i.                  Videographer

Three Pillars Media has been selected as agreed.

j.                  Lighting and spots

DA will do lights and sound for the same price as last year.

Bruce is doing plus contacting corporate sponsors.

Bruce usually donates a golf trip, Ernie’s in Ceresco donates, Winning Edge donates, Julie Horne with Great Harvest will donate, we have a Target card, and other prizes need to be obtained.  Deb M will put a note out for LTS students requesting raffle prizes.  Fern will send an e-mail to members and LTS students with the same.  Later the students and members will be given raffle tickets to sell. 

o.               Printed programs

Nance can do program but she needs all of the items by April 6.  Cornerstone has printed the programs previously.  Sue Herman volunteered to photocopy the programs.

p.               Posters—No update

q.               Curtain rented

Cynthia will follow-up and find out about obtaining the curtain. 

r.                 Pizza party

Cynthia will donate pizza, Deb P will do cake, and Lynn will provide drinks (water/juice or Gatorade). 

s.                Sanctions

Sanctions were filed today.

t.                 On April 17th, the schedule will be 7:50-8:50am for Club Ice, LTS Practice 8:50 to 10:20am, and Dress Rehearsal is 1pm-3pm.

Minutes

1.    Call to order

2.    The December 7, 2009 minutes were approved as distributed. 

3.    Treasurer’s Report and 2009 year end report were presented by Deb Pearson.  The Board approved the acquisition of a debit/credit card to facilitate Board approved online Club purchases.  Sales tax and fair market value was discussed.  Sales tax will need to be paid for fundraising sales.

4.    Membership report for end of 2009 was presented by Kathy Phillip.  Kathy also showed the unfinished quilt that will be raffled for the spring show.  The colors are contemporary and will be attractive.

5.    Report from fund raising efforts. $871.45 is the estimated profit for RADA (sales tax not yet deducted).  Wreath sales profit was $518.76 following sales tax deduction.  Apple toss income will be approximately $390.  Profit was $82.31 on t-shirts after sales tax deduction.  Donations have totaled $930 this year to date.  Deb Pearson will send thank you notes to donors.  Ticket sales for Stars Ice Hockey game can begin now.  The game is Saturday, February 13.  An incentive for Learn To Skate students to sell 3 tickets (30 minutes free club ice time) was determined.

MINUTES
  1. Minutes from November 2nd were approved. 
  2. Treasurer’s Report was accepted.  The Board approved purchase of a $6000 4-month CD to mature prior to the need to pay expenses for the April ice show.  Income has been received from wreath and RADA sales. 
  3. The Passing of Testing Policy was approved by the Board on a vote of 7 to 0 with one abstention.  The policy is as follows:  “If a coach wishes to say if or when a private student tests basic skills, it is up to the coach to request that the student be red-lined in the class program.  The parents of the skater must also be in agreement.  The test sheet would be marked as ‘not testing’.  It would be the responsibility of the private coach to arrange a different time.”
  4. Traveling Store will be held by The Winning Edge on December 12, 2009.  Phil McClintock wants to open the store at 7:10am. 
  5. Skate sharpening.  Phil cannot do skate sharpening on December 19 as planned.  The Board will look for an alternative. 
  6. Show report.  Carolyn Dow is working on music selections.  Ideas and discussion will continue at the next Board meeting regarding music and costumes for 6-8 groups. 
  7. Tuesday morning skate time change.  After January 1, Stars Ice could go back to Monday rather than Tuesday.  Fern will check with the regular skaters for mornings regarding whether they want to change back to Monday or stay with Tuesday.
  8. Pogo Cards.  The Board discussed purchasing Pogo cards for sale.  Cynthia will explore further. 
  9. Stars tickets.  The Board discussed the sale of Stars tickets after January 1.

MINUTES

1.  Call to order and additions to agenda 

2.  Approval of Minutes of the August Meeting

The minutes were approved by the Board without correction. 

3.  Treasurer’s report and new fee for ice– Deb Pearson

The treasurer’s report was presented which included an analysis of expenses and income from 2008/2009 and projected expenses and income needed for 2009/2010.  To meet expected expenses, an income of $23,600 other than Learn to Skate Sessions and Club Ice is needed.  There are 39 members who have joined year-to-date.  Last year 64 members joined in total throughout the year.  It is important for the Board members to keep the financials in mind as the year progresses.   

4.  Fees for club skates

The Board made the decision to keep punch cards at the same rate as last year ($70 for 10 ½ hour sessions).   

5.  Fees for Star City free style time.

Fees will remain the same for free style time.  Star City free style time will be on Tuesday and Friday mornings from 5:30am-7:30am.   

6.  Questions and answers for Deb Morgan

Mia has agreed to help monitor the ice for safety and practice during LTS time.  Parents can be asked to volunteer to assist.  Students can have 30 minutes for practice; if there are fewer than 20 children in the practice area, a student who is practicing may be able to stay on the ice.  Coaches will remain with the same groups for Session 3 and 4 to assist with show preparation.  No move-ups after the 2nd week of the 4th session to enable planning for the show.  No passing to the next level will occur until all elements are satisfactorily complete in each level.  Carolyn Dow will be the primary tester.  Sue Herman will print flyers for LTS.   

7.  Website update

The domain change has taken longer than expected (1 month vs. 1 week).  This has come at an inopportune time for membership and Learn To Skate marketing and information. 

8.  Advertising

Fern will check with Cynthia Woods and communicate the advertising budget (no more than $4000) and find out what she has already done.  Sue will contact Jeff Korbelik prior to the Spring Show for an article for Ground Zero in the Lincoln Journal Star.   

9.  Family Fun Skate September 19th from 8-9:30am

Brenda Linder and Deb Pearson will represent the Board at this event.  The Board recommends fees of $10 per individual, $20 maximum per family, and $5 for anyone who brings a friend.  The following door prizes were suggested:  Brenda will make a couple of bracelets for door prizes; Kathy has a skater t-shirt; 5 30-minute ice coupons.  Need to be present to win a door prize.  If the ice compressor is down for any reason, skaters who show up can have a 30-minute ice coupon for rain check.  Board members will each bring 2 dozen snacks to share.   

10.  Skating Fees

All skaters must pay fees at the time of skating; no credit will be allowed.   

11.  Update on Fund Raisers

Discussion will be held at the next meeting.  Kathy is exploring a fundraiser for Rada knives (cutlery).   

12. Raise fees for coffee and hot chocolate or just back the tax out of it.

Coffee fees will be $1.50 and hot chocolate will be the same.   

13.  New business

      a.  Introductory one time membership for LTS.  This was discussed in June and will not be possible for this year.

      b.  The Board has decided that we need to continue to require membership or associate membership to use Club Ice.

MINUTES

1. Minutes approved from July 20, 2009.


2. Ice Calendar

Reviewed draft ice calendar proposed by Fern Coon and approved the calendar for forwarding to Glenn Newell. Last year 169.5 hours of ice scheduled, 163 hours proposed for this year. No significant difference overall from last year.


3. Learn To Skate Fees

Fees were set for the Learn To Skate Fee sessions. Seven week sessions are $110 per skater and $100 for early bird registration at present. The Board decided that fees could be raised for future sessions if necessary to cover ice costs.


4. Learn To Skate Brochure

The Learn to Skate brochure was reviewed for necessary revisions for the next year.


5. Website

Update on website. Website is not yet up for this season. Fern Coon will be contacting Jeff West to follow-up.


6. Spring Ice Show

Cynthia Woods has agreed to be the coordinator for the Spring Ice Show.


7. Coaches contracts

The board approved contracts for the following coaches: Judy Cobb, Brad Newman, and Linda Loker. Coaches have been paid $65 per 1.5 hour session. Coaches are expected to be on the ice and available during the entire session. Board members Fern Coon and Cynthia Woods may also function as coaches. Volunteers are needed to help with the practice area. Coaches are paid for ice show dress rehearsal hours and for the ice show. Fern will review the contract and send it to the Board members for any needed changes/additions.


8. Update on Fundraisers

Fern spoke with Glenn about selling skating related items. She will follow-up with him about this idea.

Brenda discussed the idea of “stoning” stretch gloves for sale.

Discussed logo items for sale—sweatshirts, warm-ups, throws, bags, charms, jewelry. Brenda will follow-up with some ideas for the board.


9. Board meetings and members

A suggestion was made to add updated Board membership list to website along with dates of Board meetings on the calendar.
